Business Rules and Turnaround Times

A quick guide to turnaround times for proposals and products.


Proposal Turnaround Times

Cutoff submittal time is 2 pm EST business day 1.  Submissions after 2 pm EST will begin business day 1 on the following day.
Product and Turnaround Time (Business Days):
  • Standard Display: 1 day
  • Email Campaigns: 2 days
  • AdMix/Omni-Channel Video: 2 days
  • Microproximity: 2 days
  • Search Engine Marketing (SEM): 2 days
  • Device ID: 3 days
  • SEO Audit: 5 days

Campaign Setup, Changes, and Reporting Turnaround Times

Standard Campaigns
The following rules apply to standard Display and Email campaigns.
Campaign Set Up & Deadlines: Standard turnaround time is up to 3 business days until campaign activation. All assets must be submitted (signed io, creative, URLs, etc.) for the clock to start.
  • Cutoff submittal time is 2pm EST business day 1. Submissions after 2 EST will begin business day 1 on the following day.
  • Add 3 business days to any Search Retargeting line item, allowing time for building the custom data segment based on keywords.
  • Add 1 business day for Microproximity, Device ID, and Native Advertising to allow for custom third-party data to populate in the ad server.
  • Add 5 business days for lookalike targeting to allow the pixel to collect enough data to build the audience.
  • Live dates are directly affected by the auditing turnaround times of individual platforms.
  • Dashboards will be live within 3 business days following campaign activation dates.
  • Campaigns must be live in order to set up the dashboard.
  • Pixels will be provided within 1 business day of receiving a request or order from a new company. Requests received after 2pm EST on Fridays will be fulfilled the following Monday. Request the pixel as early as possible to ensure successful installation and tracking
Creative Changes & URL Changes
  • Creative changes will be processed within 1 business day of receiving a request. Requests received after 2pm EST on Fridays will be fulfilled the following Monday.
  • Order changes beyond swapping out creative or URLs will be subject to the same deadlines and expectations as new order submissions.
  • URL changes will be completed within 1 business day of receiving the request.
  • Requests received after 2pm EST on Fridays will be fulfilled the following Monday.

Miscellaneous Requests

  • Miscellaneous requests not related to the items specifically outlined in business rules will have an update provided within 24 hours of receiving the request. This pertains to pending and live campaigns.

Order Change

Any order increasing or decreasing ordered impression quantities or significantly revising targeting must follow this process.
  • Once new order has been submitted and is completely ready for activation, the previous order will be canceled and the new order will start.
  • The old order will be stopped and the client will be billed based on the delivery up to the point of stopping the order.
  • The new or revised order must be submitted and follow the standard campaign set up & deadline guidelines above.

Reporting

  • A reporting dashboard (UI.Marketing.com) is provided for all campaigns.
  • Device ID Foot Traffic Attribution & Matchback Reports can take up to 30 days to pull.
  • Custom Reports that are not located in Ui.Marketing will take a minimum of 3 business days to pull and a maximum of 5 business days. Custom reports are defined as anything not available in Ui.Marketing such as completion rates, complete site lists, PMPs, etc.

Email Turnaround Times

Email Campaigns
Standard turnaround time is up to 3 business days until campaign activation. All assets must be submitted (signed insertion order, creative, URLs, etc.) for the clock to start.
  • Cutoff submittal time is 2pm EST business day 1. Submissions after 2 EST will begin business day 1 on the following day.
  • Dashboards will be live within 3 business days following campaign activation.
  • Email campaigns must be tested and approved at least one full business day prior to the activation date.
  • If you require our team to build your HTML file, please add 2 business days for the creative to be built.

Creative Changes

  • Creative changes will be processed within 1 business day of receiving the request. Requests received after 2pm EST on Fridays will be fulfilled the following Monday.

Email Creative from Template

  • Email creatives from a template will have a 3 business day turnaround time with two revisions maximum.

Urgent Orders

Our Operations team will try to accommodate requests for the urgent processing of orders whenever possible, in accordance with the following guidelines.

  • The order must be of a time-sensitive nature. (i.e. weekend sale or specialevent)
  • All assets must be available at the time of request. Any order that does not contain all assets will not be accepted as an urgent order.
  • The Ops Team Manager will provide final approval for any order in the urgent queue based on the current workload.
  • Urgent orders, once approved, will be processed within 1 business day. This means the order will be set up and activated within 1 business day. We cannot guarantee the GO LIVE time since we are subject to an approval process of up to 1 business day based on the exchanges.
  • Urgent orders received on a Thursday after 2pm EST are not guaranteed to run over the weekend.

Pixel Placement

The Operations team will provide a universal pixel for every new advertiser upon request. The pixel will be mapped to the advertiser’s website in order to collect retargeting and conversion data. If additional URLs or conversions are to be monitored and reported on, these must be listed in each individual order. The advertiser is responsible for communicating with the client and coordinating pixel placement on the client’s website.
  • Our team will utilize pixel technology to power retargeting and measure view-through data when requested during the order process.
  • Ui.Marketing.com's ability to power retargeting or provide view through reporting is only activated once the client has properly placed the pixel on their site.
  • We can provide web development support to help customers place pixels or otherwise alter code on a customer’s website for a small fee (Pixel Placement as a Service). Please reach out to your dedicated Account Manager for more information.

Campaign Management and Turnaround Times

Campaign Management

  • Includes reporting dashboard
  • Includes complete campaign management, including creative & order changes
  • The team guarantees the minimum value of a .10% eCTR on all non-specialized display campaigns based on ordered impressions with a campaign duration of 30 days or more

Managed Ad Ops (Owned & Operated)

New Order Turnaround Times

  • Cuttoff submittal time is 2pm EST business day 1.
  • Submissions after 2pm EST will begin business day 1 on the following day.
  • All assets must be submitted in the order for the clock to start. 

Order Change Turnaround Times

  • Confirmation of required task - 6 business hours
  • Completion of a trafficking request - 1 business day
  • Completion of a reporting request - 1 business day
  • Completion of forecasting - 12 business hours
  • Update to an existing order - 12 business hours

  • Facebook & Instagram: 5 days
  • Email Campaigns: 3 days
  • Email Campaigns with HTML Build: 2 additional days (5 days)
  • Microproximity/Device ID: 1 additional (4 days)
  • Native Advertising: 1 additional (4 days)
  • Search Retargeting: 3 additional (6 days)
  • Creative/URL Change: 1 day
  • Request for Pixel: 1 day
  • Pixel Placement as a Service (PPaaS): 2 days
  • Managed Ad Ops (Owned & Operated): 1 day

Please complete the IO form as thoroughly as possible.

Turnaround times do not kick in until all assets are received.  The team may close out a ticket if they do not have enough information to proceed in building a campaign. You can reopen that line item by responding within 30 days. Each product must have its own line item.
